Position Summary

The Co-management coordinator is responsible for receiving, coordinating, and updating incoming referrals for all physicians; provide assistance with maintaining referral relationships with community optometrists and referring physicians. Monitor CoFi invoices, ensuring that referring providers receive payment timely and that invoices are completed.   

Responsibilities

  • Maintain electronic database including faxes (both electronic and manual) and electronic referral portal software.
  • Maintain efficient workflow of referral data entry into practice management software, meeting recommended deadlines and timeframes of referral sources.
  • Timely respond to phone calls, email, and RingCentral texts from internal and external referral sources
  • Identify scheduling and workflow issues when reported by referring physicians.
  • Follow consistent workflow with input of referral recall information, coordinating with call center representatives for patient scheduling as needed.
  • Reviews referring physician reporting, in partnership with Physician Liaisons, for potential sources of referral increases.
  • Work in partnership with physician liaisons to ensure compliance with EyeSouth Co-Management policy.
  • Serve are direct contact for referring physicians who report issues with referral portal, call center, or scheduling issues not meeting a timely deadline for consult.
  • Identify workflow issues with referral portal software and troubleshoots issues with EMR system as needed.
  • Strive to fill outstanding New, Cat Eval, New Glaucoma, New Lid Eval, and other open appointment slots when cancellations occur, providing timely appointments for patient need and efficient utilization of scheduling templates.
  • Maintain and update standard operating procedures for Referral workflow. Provides detailed instructions of processes to allow other team members to assist in high volume referral situations.
  • Keep manager and practice leadership informed of any significant workflow issues, support tickets affecting referrals or physicians complaints.
  • Maintain patient confidentiality and HIPAA compliance
  • Other duties as assigned

Qualifications

  • High School diploma or equivalent required, advanced degree preferred.
  • Previous experience in this or similar role preferred.
  • Good understanding of ophthalmic practice and patient care, including ophthalmic triage and emergencies
  • Ability to effectively communicate with patients, co-workers, outside vendors, referring physicians, and leadership.
  • Must be self-motivated in the areas of time management and efficient workflows, with strong organization skills and attention to detail.
  • Ability to interact with computer technologies as designed to enhance referral procedures.
