Position Summary

Central Florida Eye Specialists is currently hiring for a Surgical Coordinator to join our busy and growing practice.  This role, while busy, is vital to the overall success of our practice, thus making hiring the right person so important!  Our surgical coordinators often say they feel very rewarded in their positions because they are given the opportunity to build a special bond with our patients during what is sometimes a scary part of their lives.  

 

The surgical coordinator position functions as part of the clinical team, ensuring all aspects of scheduling surgery, including facilitating post-op appointments, obtaining necessary clearances, communicating with ASC's, obtaining patient signatures on consents, and providing patient education on premium lenses as well as what to expect before, during, and after surgery.  This position also works directly with our revenue cycle team to obtain appropriate insurance authorizations and advise patients of any financial responsibilities.  

Responsibilities

Required Duties & Responsibilities include (but are not limited to):

  • Communicates with physician directly regarding their surgical orders for each patient
  • Educate patients on appropriate lens options based off physician recommendations 
  • Works with the revenue cycle team to ensure they have appropriate information needed to obtain insurance authorizations and pre-collect any patient financial responsibilities
  • Assists patients with setting up payment plans, and collects all co-pays, co-insurances, pre-surgical deposits, and full amounts.
  • Stay in constant communication with the patient of any insurance or scheduling updates
  • Schedules ASC time, according to physician scheduling protocols; faxes H&P to ASC when ordered.
  • Schedules all appropriate pre-operative tests and medical clearances.
  • Discusses pre-operative instructions with the patient, as directed by physician
  • Coordinates all financial and clinical paperwork prior to surgery, using physician-approved forms and checklists; has paperwork/surgical plan ready for surgeon prior to the day of surgery for review.
  • Schedules all post-operative follow ups as directed by physician protocols

Additional Duties and Responsibilities:

  • Responds to written, email and telephone inquiries from patient and carriers regarding planned surgeries
  • Maintains communication among the physician, patient, insurance company and ASC at all times
  • Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
  • Ensures that clinical records are up to date and maintained
  • Attends continuing education courses as requested
  • Attends all regular staff meetings
  • Completes all other duties as assigned by the Surgical Services Manager

Qualifications

Physical Demands:

  • Ability to view patient images and operate computer devices
  • Ability to converse with patients - speaking and hearing
  • Frequent use of a computer, keyboard, and mouse
  • Sitting for long periods of time throughout the day

Other Position Details:

  • Office location varies depending on assigned role and/or assigned physician
  • Monday to Friday schedule
  • Uniform/Scrub allowance of $200
  • Some job titles that usually have relevant experience for this position: medical assistant, optometric technician, ophthalmic technician, optician, veterinary technician, ophthalmic scribe, ophthalmic photographer, phlebotomist, certified nurses assistant
  • High School diploma or equivalent required. College education preferred
  • Experience working in a physician group practice or health care environment preferred 
  • Effective interpersonal and communication skills required
  • Computer literate with excellent spelling and typing abilities. EMR experience preferred
  • Customer service orientated
  • Fluency in English, bilingual preferred
  • Requires flexibility to travel to any office, sometimes with very little notice; reliable transportation required
