The primary responsibility of the Surgical Coordinator Supervisor is to provide effective and proactive management of surgical operations; to ensure exceptional service to patients and to achieve annual operational and financial goals. The Supervisor engages in developing and implementing action plans to meet annual goals and to resolve surgical scheduling issues. The Surgical Coordinator Supervisor develops a culture of extraordinary and respectful collaboration by carefully overseeing effective work performance by surgical counselors. The Surgical Coordinator Supervisor collaborates with other directors and clinic board to improve patient access to care through clinic resources including provider schedules and staffing.
Pay Range - $22.50-$24.00hr. Commensurate with experience
• Interacts with all internal and external customers in a caring and respectful manner.
• Completes operational reporting metrics on a timely basis.
• Ensures optimal patient care and cost-effective management is maintained through utilization of data and information from quality assessment and standards monitoring of premium services conversion rate of our patients.
• Ensures consistent operational execution of patient experience and alignment between all offices.
• Provides patients with pre-op and postoperative counseling.
• Schedules appointment dates/times for patients and physicians using a computerized scheduling system with the ability to assist patients in being compliant in pre-op and post op regiments.
• Participates in the development of and oversees the implementation and evaluation of programs and processes to provide necessary patient care services using appropriate resources. (Oversees Surgical Coordinators and all their responsibilities which include education, insurance verification and financial patient responsibility)
• Interacts with patients, physicians, and other staff both within the clinic/ASC and at outside facilities providing accurate, timely and responsive information.
• Coordinate processes and route all paperwork as required to meet physician and facility requirements. Provides accurate, thorough, and complete documentation of all information pertinent to patient treatment,including follow-up appointments, referral appointments and other tests ordered by provider.
• Returns and responds to all calls relating to scheduling.
• Ensures any necessary medical clearances are obtained by the patient prior to surgery.
• Knowledgeable regarding co-management with referring providers and ensures compliance with the scheduling of post-operative visits. Communicates with referring providers as needed.
• Communicates with assigned physician and surgery center staff to ensure all special supplies are received prior to the surgical date and informs ASC of any add on patients. Reschedules appointments as needed.
• Helps with other ancillary tasks including but not limited to following up with patients that no-show or cancel surgical appointments, sending H&P orders and consents to outside hospitals, update surgical scheduler protocol handbook, constantly edit consents and documents as processes change, training sessions with our Ophthalmic surgeons, etc.
• Responsible for learning basic coding necessary to make appropriate changes.
• Reviews provider notes to ensure all ordered services were obtained.
• Photocopies records and forms according to established policies and procedures.
• Participates in quality improvement processes as requested by management.
• Provides guidance and direction to staff by organizing, directing, coordinating, and controlling activities for the care of patients, the development of personnel, compliance with regulatory and professional standards, strategic planning, and the fostering of interdisciplinary collaborative relationships.
• Performs all necessary supervisory functions to effectively and efficiently manage the personnel assigned.

Financial:
• Collect all current and outstanding fees and payments regarding surgical procedures including self-pay.
• Balances and reconciles all money collected daily.
• Educate patients of financing options as outlined by practice.
• All other duties as assigned.
• High School Diploma or equivalent
• Minimum two years’ experience in a medical office/health care setting required
• Minimum two years health care insurance experience (preferred).
• Knowledge of clinic processes.
• Proven ability to thrive in a highly matrixed environment
• Ability to work beyond the normal hours, as needed (including potential weekends)
• Excellent presentation, interpersonal and communication skills; written and documentation skills
• Professional & reliable demeanor with strong work ethic
• Excellent time management skills, organizing and prioritizing workload, in order to meet deadlines
• Ability to quickly learn new software, new systems, adapt to change and communicate effectively
• Strong computer skills including Microsoft Office; especially Word, Excel, and PowerPoint
• Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external
• Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level, with a strong sense of urgency.
• Self-motivated with strong organizational skills and superior attention to detail
• Must be able to manage multiple tasks/projects simultaneously within inflexible time frames.
• Ability to adapt to frequent priority changes.
• Team player that develops strong collaborative working relationships with internal and external partners and can effectively engage
