Position Summary

The Sr. Manager, Clinical Processes, is a key position within the operations department. This role focuses on clinical operations, front desk operations, and staff training to drive consistent, high-quality patient care and operational excellence. This role will be responsible for the development and documentation of standard operational processes and training guidelines that will be implemented at all EyeSouth affiliates.

Responsibilities

Clinic Operations

  • Partner with Clinical and Operational Leaders to standardize clinical staff onboarding, training protocols, and competency assessments.
  • Document and assist with implementation of standard operating procedures and processes across the EyeSouth enterprise
  • Develop and maintain comprehensive clinical operations assessments and checklists, updating annually or as necessary to maintain alignment with the EyeSouth strategic goals and initiatives.
  •  Work cross-functionally with clinical and administrative teams to ensure training programs meet operational and strategic goals.

Continuing Education & Certification

  • Create, update, and maintain training materials, including manuals, online modules, and hands-on training exercises for clinical and administrative staff.
  • Establish and oversee a structured continuing education program for clinical staff to ensure compliance with regulatory and credentialing requirements.
  • Support field level Clinical Trainers in their efforts to train and on-board new technicians and clinical staff.
  • Maintain data and report on training, continuing education, competency and certification level KPIs for all clinical and administrative staff.
  • Support technicians and trainers in achieving and maintaining JCAHPO certification levels (COA, COT, COMT) through mentoring and training initiatives.
  • Partner with EyeSouth Shared Service team members to develop and implement training for affiliate administrative staff members including topics such as customer service, time of service collections, basic and intermediate insurance understanding and comprehension, etc.
  • Develop partnerships with external educational resources and certification organizations to enhance training opportunities.

EMR/EHR Operations

  • Partner with clinic and operations leaders to design and implement standard clinic workflows and processes based on best practices and approved EyeSouth standards.
  • Develop and implement operational workflow processes for EHR software at new and current affiliated practices.
  • Partner with clinic and implementation leaders to train staff on proper operations workflows for EHR system(s).

Leadership & Retention

  • Act as a clinical mentor and advisor, fostering a culture of excellence and growth among ophthalmic technicians and clinical trainers.
  • Analyze technician turnover data to identify trends and implement retention strategies.
  • Collaborate with HR to design career pathways for clinical staff, promoting professional development and long-term engagement.

Qualifications

  • COMT JCAHPO certification required.
  • 10+ years of experience in Ophthalmology multi-site practice management required.
  • Experience working in a large multisite eye care practice (30+ providers) or MSO setting
  • Nextech experience strongly preferred.
  • Bachelor's degree in healthcare administration, business, or a related field strongly preferred.
  • Proven ability to educate and train clinical staff with experience developing playbooks and training program(s) preferred.
  • Excellent communication and leadership skills to collaborate effectively with cross-functional teams.
  • Knowledge of healthcare regulations and compliance requirements, including HIPAA.
  • Data analysis and reporting skills to derive actionable insights.
  • Ability to adapt to a fast-paced and dynamic environment.
