Position Summary

The Provider Recruitment Associate plays a vital role in supporting the recruitment and onboarding of physicians across our multi-state healthcare organization. This role partners closely with the physician recruiting team to manage operational workflows, candidate communication, event logistics, and digital outreach campaigns. The ideal candidate is highly organized, proactive, and tech-savvy, with a strong interest in healthcare talent acquisition.

Responsibilities

• Monitor and analyze key performance indicators (KPIs) related to physician recruitment efforts, including time-to-fill, sourcing effectiveness, campaign ROI, and referral program impact, providing actionable insights to drive continuous improvement and strategic decision-making.
• Proactively source and cultivate candidate leads through specialty-specific networks, professional associations, and residency/fellowship outreach, maintaining robust pipelines across key sub-specialties.
• Independently launch and oversee targeted physician recruitment campaigns in the Applicant Tracking System (ATS) and affiliated platforms upon new position openings.
• Take full ownership of posting and optimizing job listings across specialty-specific industry boards (e.g., AAO, ASCRS, Glaucoma Society, Oculoplastics Society), ensuring visibility to top-tier talent.
• Own and maintain the organization’s centralized database of Residents and Fellows, ensuring real-time accuracy and strategic segmentation across specialties and geographies.
• Design, develop, and deploy monthly physician-focused e-blasts via Constant Contact, engaging residents, fellows, and prospective candidates in alignment with broader talent strategy.
• Manage and execute internal monthly communications to current physicians regarding referral bonus opportunities and active openings, driving engagement and participation.
• Serve as the lead content creator and campaign manager for all outbound digital marketing efforts related to physician recruitment through Constant Contact.
• Lead the planning, design, and execution of all residency and fellowship recruiting events, managing end-to-end logistics, communications, and post-event follow-up.
• Own and update comprehensive records of all outreach activities and maintain a living repository of residency/fellowship program contacts for ongoing engagement.
• Develop, manage, and deliver physician recruiting performance dashboards and analytics, offering insights into hiring metrics and marketing campaign outcomes.
• Ensure timely and accurate upload of executed physician contracts into UKG and initiate downstream onboarding processes.
• Acts as the initial point of contact for provider terminations, proactively strategizing recruitment efforts for backfill while serving as project manager for provider offboarding workflows with key internal stakeholder
• Cross-train with HR colleagues and serve as a reliable backup for physician onboarding project management, ensuring continuity and excellence in execution.

• Track, manage, and escalate onboarding milestones to ensure physicians experience a seamless, timely, and professional transition into the organization.

Qualifications

.

  • Bachelor's degree in Human Resources, Communications, Healthcare Administration, or a related field preferred.
  • 2+ years of experience in recruiting coordination, talent acquisition support, or healthcare operations preferred.
  • Experience with recruiting software (e.g., iCIMS), Constant Contact, and UKG a strong plus.
  • Strong organizational skills; must be able to manage and prioritize multiple business objectives and projects with the proper sense of urgency.
  • Advanced computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
  • Excellent interpersonal skills (written and verbal) including the ability to interact effectively and professionally with individuals at all levels; both internal and external.
  • Ability to present concisely and with detail.
  • Entrepreneurial spirit with ability to thrive in a dynamic and changing environment.
  • Excellent problem-solving and negotiation skills and demonstrated business analytics and financial modeling abilities.
  • Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level.
  • Self-motivated with strong organizational skills and superior attention to detail.
  • Must be able to manage multiple tasks/projects simultaneously within inflexible time frames. Ability to adapt to frequent priority changes.
  • Team player that develops strong collaborative working relationships with internal partners and can effectively engage and ability to build consensus among cross-functional teams.
