Position Summary

We are seeking a professional, welcoming, and highly organized Receptionist/HR Assistant to join our team. This dual role serves as the first point of contact for our company while also providing essential administrative support to the Human Resources department. The ideal candidate is an excellent communicator, exceptionally detail-oriented, and capable of handling sensitive information with the utmost confidentiality. This is a critical role that requires a consistent in-office presence to ensure the smooth operation of our front desk and support our employees effectively.

Responsibilities

The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organizations human resource department and corporate headquarters.

 

  • Serves as the Day-1 onboarding contact for all corporate new hires to ensure workstation, supplies, equipment are ready for new hires.
  • Manages the employee gifts for special events (baby, bereavement, etc.).
  • Oversees corporate headquarters building maintenance issues, including but not limited to: employee badge access, maintenance requests, supply ordering, etc.
  • Serves as the first point of contact for all visitors within our corporate headquarters. 
  • Manages the weekly lunch ordering for corporate offices on regular schedule.
  • Ensures the corporate offices are clean and orderly for employees and guests, including break room.
  • Receives and sorts mail and packages and ensures recipients receive scanned copies timely.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the seating charts for corporate headquarters and ensures guests and employees have designated space as needed.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Provides additional clerical support to the HR, benefits and payroll department as needed.
  • Conducts or assists with new hire orientation for corporate staff.
  • Oversees corporate employee engagement events and planning, such as corporate town hall meetings, employee recognition events, and holiday parties.
  • Completes Forms I-9, verifies I-9 documentation, maintains I-9 files, and audits I-9 files for corporate staff.
  • Assists with processing of terminations, new hires, and payroll changes within the HRIS.
  • Assists with the preparation of the performance review processes.
  • Assists with recruitment efforts as needed for interviews and job fairs.
  • Prepares new-employee files and maintains compliance with HR personnel files at the corporate level.
  • Assists the affiliate and corporate HR departments as needed for special projects.

Qualifications

  • Bachelor’s Degree in Human Resources or the equivalent years related experience preferred
  • Prior HR experience a plus but not required.
  • Prior HRIS experience a plus but not required.
  • Ability to handle highly confidential data required.
  • Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
  • Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external.
  • Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level.
  • Self-motivated with strong organizational skills and superior attention to detail.
  • Must be able to manage multiple tasks/projects simultaneously within inflexible time frames. Ability to adapt to frequent priority changes.
  • Team player that develops strong collaborative working relationships with internal partners and can effectively engage and ability to build consensus among cross-functional teams
  • Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external.
