Position Summary

Responsible for managing the day-to-day operations of assigned practice location(s). Provides administrative
leadership to the practice. Ensures quality services are provided according to established policies and procedures.
Responsible for working in collaboration with practice physician(s) to manage office templates and patient
schedules. Responsible for ongoing operational evaluations. Partners with the Human Resources and Practice
Administrator for employee performance evaluations, hiring, transfers, promotions and employee relations
concerns.

Responsibilities

Oversee the day-to-day administrative operations of the clinic
• Oversees management of direct reports to include hiring, training, development, support, performance
management, and termination of staff with oversight from human resources
• Maintain office workflows, scheduling systems, and operational procedures
• Monitor supply inventory and coordinate purchasing; approve supply orders from staff for assigned
location(s).
• Manage relationships with third party retail and equipment vendors; schedule maintenance to ensure
equipment remains in working order.
• Ensure efficient patient check-in/check-out processes
• Address patient concerns, feedback, and escalated service issues
• Monitor wait times, communication practices, and service workflows
• Collaborate with doctors on development and creation of their schedule templates. Communicating
changes to the clinical and contact center teams as needed.
• Own and contribute to daily and weekly staff huddles; create agenda and program for regularly scheduled
staff meetings
• Oversee patient engagement software, net promoter score, appointment confirmation, appointment
requests, and daily syncing.
• Monitor and audit rescheduling queue and electronic requests for appointments and/or cancellations.
• Contribute to annual capital equipment budget process and oversee equipment demo and purchase for the
assigned practice location(s).
• Understand and implement strategic growth initiatives as determined by practice leadership
• Close office at end of each day per guidelines; own the process for end of day cash reconciliation at the
assigned office location(s).

Human Resources
• Supervise front office, medical record, and other administrative personnel
• Manage hiring, onboarding, training, and staff scheduling
• Evaluate employee performance and provide feedback on an on-going basis. Conduct timely annual
employee performance reviews in partnership with the Practice Administrator and Human Resources
business partner.
• Obtain feedback from staff regarding office practices, morale, and concerns and work with practice
administration on improvement projects
• Foster a positive, professional, and complaint work culture.
• Follow practice governance guidelines for communicating and reporting changes to daily operations.
Compliance
• Ensure compliance with HIPAA, OSHA, CMS and other healthcare regulations
• Maintain accurate documentation and audit readiness
• Develop and implement policies and procedures for safety and privacy
• Ensure all medical record processes and procedures run efficiently and accurately
• Understand and accept responsibility to report potential or suspected errors to supervisor or Compliance
Officer
• Work with medical records department and/or external vendor for any inefficiencies or discrepancies within
any process or procedure.
• Participate in MIPS reporting and auditing process annually. Train staff on the proper documentation
required by MIPS; contribute to all improvement activities.

Qualifications

High school Diploma, secondary education preferred.
• Minimum of 2 years of people leadership in a healthcare facility
• Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
• Proven ability to lead and develop a team and drive performance improvement, demonstrated by
progressive increases in management responsibilit
