Responsibilities

The Office Coordinator is responsible for supporting physician programs, recruitment logistics, and community
outreach initiatives that strengthen referral relationships. This role manages fellowship coordination, organizes
candidate and continuing education (CE) events, and provides operational support by identifying and resolving
process issues. The Office Coordinator ensures seamless communication between physicians, staff, and the
referring community while delivering a professional candidate and patient experience.


ESSENTIAL DUTIES

Physician Recruitment & Fellowship Coordination

  • Coordinate fellowship program activities, including scheduling interviews, sending invitations, hosting
    candidate events, submitting match materials, and onboarding fellows.
  • Manage logistics for physician candidate interviews and recruitment, including interview schedules,
    physician dinners, and candidate communications.
  • Serve as the primary contact for candidates to ensure a smooth recruitment experience.

Physician & Referral Relations

  • Assist with maintaining relationships with referring physicians by gathering feedback, escalating
    operational issues, and monitoring referral patterns.
  • Prompt physicians to follow up with referral sources to maintain strong referral pathways.
  • Support planning and execution of CE events and physician outreach activities.
  • Provide training and logistical support for new physicians in referral engagement activities.

Operational Support & Process Improvement

  • Develop and refine internal processes based on physician and community feedback.
  • Identify operational inefficiencies (e.g., patient screening protocols) and assist in implementing solutions.
  • Manage patient communication logistics, including letters and mailings.
  • Provide administrative support for marketing and physician relations initiatives as directed by the Practice
    Administrator.

PHYSICAL DEMANDS & WORK ENVIRONMENT

  • Medical office environment with possible exposure to communicable diseases.
  • Requires frequent sitting, standing, walking, and computer use; occasional lifting up to 15 lbs.
  • Ability to travel locally for physician outreach or events as needed.

Qualifications

  • High school diploma required; associate’s or bachelor’s degree in business, healthcare administration, or
    related field preferred.
  • Minimum 2–3 years’ experience in healthcare administration, program coordination, or office operations.
  • Strong organizational and project management skills with the ability to manage multiple priorities.
  • Excellent interpersonal and communication skills; able to interact effectively with physicians, staff, and
    external partners.
  • Proficiency in Microsoft Office Suite; EMR/scheduling software experience preferred.
  • Strong problem-solving skills, with the ability to adapt to changing priorities.
  • Ability to work independently while contributing as a collaborative team member.
