Position Summary

The Medical Assistant – Oculoplastics & Aesthetics provides clinical support to the physician and advanced practice providers within the Oculoplastics and Aesthetics department. This position plays an important role in maintaining efficient patient flow while delivering a high level of patient care and customer service.

The Medical Assistant will assist with both cosmetic services—including Botox, dermal fillers, and IPL treatments—and the medical/surgical side of the practice, including postoperative visits, surgical follow-ups, and returning patients. The ideal candidate is professional, personable, detail-oriented, and comfortable working in a fast-paced specialty environment where both clinical excellence and the patient experience are priorities.

Responsibilities

Cosmetic & Aesthetic Clinic Support

  • Prepare patients and treatment rooms for cosmetic and aesthetic procedures.
  • Assist the provider during Botox, dermal filler, IPL, and other aesthetic treatments offered by the practice.
  • Review and confirm appropriate documentation, consents, and treatment information prior to procedures.
  • Obtain and document patient histories, medications, allergies, and relevant clinical information.
  • Take standardized before-and-after photographs as directed.
  • Prepare necessary supplies and equipment for procedures.
  • Maintain appropriate infection-control and room-cleaning standards between patients.
  • Provide patients with provider-approved pre- and post-treatment instructions.
  • Help create a professional, welcoming, and elevated patient experience throughout the cosmetic visit.
  • Assist with maintaining cosmetic product, injectable, and clinical supply inventory and notify leadership when supplies require replenishment.

Oculoplastics & Surgical Clinic Support

  • Room and prepare patients for postoperative appointments, surgical returns, follow-up visits, and other Oculoplastics appointments.
  • Obtain and accurately document patient history, chief complaint, medications, allergies, and other required clinical information.
  • Assist the physician with examinations, minor procedures, postoperative care, and in-office surgical procedures as appropriate.
  • Prepare examination and procedure rooms with necessary instruments and supplies.
  • Assist with suture removal, dressing changes, wound care, and other clinical tasks within the Medical Assistant's training and scope of practice and under provider direction.
  • Provide physician-approved postoperative instructions and reinforce patient education.
  • Recognize patient concerns or changes in condition and promptly communicate them to the physician or appropriate clinical team member.
  • Assist with prescriptions, pharmacy communication, patient tasks, and clinical documentation as directed.

Clinical Operations & Team Support

  • Maintain efficient patient flow throughout the physician's schedule.
  • Anticipate physician and patient needs to help keep the clinic running on time.
  • Accurately document information in the electronic medical record.
  • Ensure examination, treatment, and procedure rooms are appropriately stocked and prepared throughout the day.
  • Follow all HIPAA, OSHA, infection-control, and practice policies and procedures.
  • Communicate professionally and compassionately with patients, physicians, coworkers, and other departments.
  • Work collaboratively with the Oculoplastics team and provide additional clinical support when needed.
  • Assist with additional duties as assigned to support the needs of the physician, department, and practice.

Qualifications

  • High school diploma or equivalent required.
  • Medical Assistant certification preferred.
  • Previous Medical Assistant or ophthalmology experience preferred.
  • Experience in dermatology, plastic surgery, aesthetics, ophthalmology, or another procedural specialty is a plus.
  • Experience assisting with Botox, dermal fillers, IPL, or other cosmetic procedures is preferred but not required for the right candidate.
  • Strong clinical documentation and organizational skills.
  • Excellent communication and customer-service skills.
  • Ability to maintain professionalism and patient confidentiality at all times.
  • Ability to multitask and remain organized in a fast-paced clinical environment.
  • Comfortable assisting with both cosmetic procedures and postoperative/surgical patient care.
  • Must demonstrate reliability, teamwork, attention to detail, and a willingness to learn
